APT University: Multi Order Print and Ship Managementt

Hi everyone and welcome to APTU, Today we’re going to be discussing some of the techniques for dealing with several orders at once through the fulfillment processes these are going to give you some great general skills for printing and moving orders through AdvancePro.

So throughout AdvancePro, we have several screens that we deal with that have lists of different records, we have the product records, customer records, and vendor records, but then we also have transaction records like the customer and vendor orders, and we have all kinds of filters to view these lists differently. So we can look at orders with a different date, or orders with a different status, like open or at warehouse, we also have icons that tell us at a glance what the actions are relating to an order. So green orders can be filled, yellow ones can be partially filled, and red orders mean we’re out of stock. An hourglass means that stock has been ordered, a black truck means the stock is being drop shipped, and a dolly means the items are at the warehouse being picked.

Now from this view all orders screen, we can print the quotation or the sales order without opening up the individual orders, by checking off these orders and clicking print. This is great for orders or for picking when you want your warehouse team to come in in the morning and just pull a stack of orders off that printer.

You’ll also see that in the bottom we can print a report, which is an order summary report, and here we can also customize which columns are shown. And we can export this page really easily to excel.

Last week we covered back ordering processes, so this week we’re going to be addressing shipping. So we’re going to process a customer order, and it will get added to the picking queue within the warehouse, and the warehouse orders screen can also be filtered down between picking, packing and shipping, Here’s a tip by the way, if you click on the hyperlink name for a filter, your search will update automatically, if you check off each filter individually, you’ll need to click the magnifying glass to update. So one is a quick link and the other is for building a special view of the orders.

Now in the warehouse, you have the option of printing picking packing, or shipping slips, as well as printing out a label, and here’s a copy of what one of the labels looks like just in case you’re not familiar. Now this isn’t to be confused with an AP Label – the labels that come with AP label are much more customized than this.

Now down at the bottom, you’ll see several options here for choosing to not just print, but also batch process these orders, so instead of going in and marking each of these as picked, we could easily select them all and move them right through picking, and then we could pack or ship them manually, or we can pick, pack, and ship for all orders all in one step.

So this is a very powerful tool for multi-order management. Just keep in mind that if you batch ship your orders, you won’t be able to enter tracking numbers or export them to ups or fedex.

So now as soon as we ship the order, it gets created as a pending invoice.

So we can go over to customers, view orders, and we can batch print invoices if we want, you’ll also see we can consolidate the invoices so here’s a consolidated invoice.

Now this next part is a brand new feature in Version 11.4 which we just released, you can now batch process your invoices as well. Now in order to do this you’ll need to enable the setting in Admin > site settings > Additional Settings, but once you’ve done that you can check off a bunch of pending invoices now, and create all of those invoice. So it’s a very convenient way to finish off all those transactions and move them over to QuickBooks.

This also works for creating Bills – so it’s very convenient on both sides.

One last area I want to touch on, because we’re talking about printing so much today is that AdvancePro actually offers two types of printing, we have what we call standard print and Smart print pro. Standard print shows a slightly more basic version of a document, that’s the yellow print button, and it also provides more export options.

A smart print document is typically much more customized, especially in the case of the invoice, and that’s the printer with the red checkbox.
