Hello and welcome to APT university – today we’ll be discussing the bills of lading feature on inbound and outbound orders within AdvancePro.
The features covered today do require that you have the advanced shipping modules enabled, so if you don’t see a feature available, be sure to reach out to an AdvancePro advisor.
So today we’re going to launch straight into AdvancePro, and we’ll start by entering a bill of lading on a vendor purchase order,
To do this, as you are completing the vendor order, or when you open a saved order, click the vendor freight button to open up your bill of lading information, here you can save any quoted costs, customs or shipping information you might need, and click the add button. You can have as many bills of lading as you like applied to this single vendor order. This isn’t used to pay your vendors, for information on that you might want to take a look at our video on freight bills and landed cost.
Now for customer orders and outbound bills of lading, there are a few more steps to set up. First, let’s talk about the configuration. You’ll need to go to Admin > utilities> advanced shipping and create pallet rules. Here you can define either the maximum weight, or maximum dimensions for an outbound pallet.
Now the second step is to configure your BOL settings, you can do this in the warehouse tab and this mostly means setting the column headers for your Bil of lading.
Now for this next step to work, you do need to have an order in the ‘To Ship stage – and that order must have a carrier set. Now go to the warehouse, open up the option to create a pallet, here you can add the products from the order that is in the to ship stage to the pallet, you will be constrained by the pallet rules that you set earlier, but they can be overridden.
You can only add products to the same pallet from orders that are in the to-ship stage, going to the same customer, on the same carrier. Once you’ve got your pallets set, you can go to the ‘view all pallets screen, check off the pallets you want on your bill of lading, and click the BOL print button at the top or bottom of the view all pallets screen.
There are a number of settings for messages at the top and bottom of the BOL that you can edit. This changes will be saved for the next BOL you produce.
Finally, you can mark the order as shipped, and you can look at the view all pallets screen to see that the pallets are now shipped. And you can go to the reports page under warehouse reports, to run a report by pallet to see what pallets were shipped.
